Superior AI Pty Ltd (ABN ABN) respects your privacy. This policy explains what personal information we collect through this website and in the course of delivering the SAI service, how we use and protect it, and how you can access, correct or complain about our handling of it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. In this policy, "we", "us" and "our" mean Superior AI Pty Ltd, and "personal information" has the meaning given to it in the Privacy Act.
1. Information We Collect
Information you give us directly
When you enquire about SAI, book an AI Discovery, or correspond with us by email or telephone, we may collect:
- your name, job title and the business you work for
- your business email address and telephone number
- details of the systems your business runs and the outcomes you are looking for
- the content of your enquiry and any subsequent correspondence
Information collected automatically
Our web hosting provider keeps standard server logs when you visit this site, including your IP address, browser type and version, device type, the pages requested and the time and date of the request. These logs are used to keep the site available and secure and to diagnose faults.
Information handled while delivering SAI
Where your organisation engages us to deliver SAI, the assistant queries systems your organisation controls and may return personal information contained in those systems. We handle that information as a service provider on your organisation's behalf and under our services agreement with them. Your organisation remains responsible for the personal information held in its own systems and for its own privacy obligations to the individuals concerned.
2. How We Use Your Information
We use personal information to:
- respond to your enquiry and arrange and conduct an AI Discovery
- prepare proposals, quotes and scoping documents
- deliver, support and improve the SAI service and our other services
- send service and account communications relating to work we are doing for you
- send marketing communications where you have opted in, which you can unsubscribe from at any time
- meet our legal, accounting and record-keeping obligations
We do not sell personal information, and we do not disclose it for another organisation's direct marketing.
3. Disclosure to Third Parties
We may disclose personal information to:
- Superior IT, our related managed services provider, where they support the infrastructure or provide escalation for your service
- service providers who help us run our business, including cloud hosting, email, CRM and accounting providers, who are bound to use it only for the purposes we engage them for
- your own organisation's nominated contacts, where the information relates to services we deliver to that organisation
- professional advisers, insurers and auditors
- a regulator, court or other party where we are required or authorised by law to do so
4. Overseas Disclosure
SAI is hosted on Australian infrastructure, and documents and indexes created in delivering the service are held in Australia or within your organisation's own Microsoft tenant.
Some of the general business tools we use to run the company, such as email and customer relationship management, may store data outside Australia. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
5. AI Processing and Model Providers
SAI uses large language models to interpret questions and compose answers. Questions submitted to the assistant and the material used to answer them are not retained by the model provider and are not used to train any model. Retrieval is scoped to a single organisation before any question is answered, and each question and file produced is logged against the person who asked it so your organisation can audit use.
6. Cookies
This site uses only the cookies necessary to serve the page and keep it secure. You can refuse or delete cookies through your browser settings at any time, though parts of the site may not work as intended if you do.
If we introduce analytics, advertising or other tracking technology on this site, we will update this policy before doing so.
7. Security
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These include access controls scoped by role, encryption in transit and at rest, logging and monitoring, and staff training. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
If we suspect an eligible data breach, we will assess and respond in line with the Notifiable Data Breaches scheme and notify affected individuals and the Office of the Australian Information Commissioner where required.
8. Retention
We keep personal information only for as long as we need it for the purposes set out in this policy, or for as long as we are required to keep it by law — generally seven years for records relating to a commercial engagement. When it is no longer needed and we are not required to retain it, we destroy it or de-identify it.
9. Access and Correction
You can ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Contact us using the details below. We will respond within a reasonable period, and will generally need to verify your identity first. If we refuse access or a correction, we will tell you why in writing.
Where your request concerns information held inside your own organisation's systems, we will refer you to that organisation, which controls that information.
10. Complaints
If you believe we have breached the Australian Privacy Principles, contact us first using the details below. We will acknowledge your complaint and aim to resolve it within 30 days.
If you are not satisfied with our response, you can refer the complaint to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
11. Changes to This Policy
We may update this policy from time to time. The current version is always published on this page, with the date it was last updated shown at the top. Material changes affecting existing clients will be communicated directly.
